This policy explains what personal data we collect when you use our website or work with us, why we need it, how we keep it safe and the rights you have. We keep it short and plain, and we never sell your data.

Who we are
Fire Door Specialist ("we", "us" or "our") provides fire door inspections, repairs and installation across Greater London. We are the controller of the personal data described in this policy. That means we decide how and why it is used, and we are responsible for looking after it.

The data we collect
Details you give us. When you send our quote form or contact form, email, call or message us, we collect:
- your name, phone number and email address
- details about the building and the work, such as the type of building, the number of fire doors and when you need us
- anything you choose to write in a message or tell us on the phone
- photos, reports or documents you send us, such as a fire risk assessment
Details from our work. When we visit a building, we record information about the fire doors, including photos, measurements and notes. These are about the doors, not about people. We may also note who to contact for access on the day.
Details collected automatically. When you send a form, we also record:
- the part of our website you sent it from and the first part of the site you visited
- the website that sent you to us, and any campaign tags in the link you followed (for example from an advert)
- the type of browser and device you used
- a scrambled code made from your internet (IP) address. We use it only to spot repeated spam, and it cannot be turned back into your address
We also count how many times each part of our website is viewed. These counts do not include your IP address or any details about you.
Sensitive details. We do not ask for health or other sensitive information. Please do not include it in a message unless it matters for the work, for example if a resident needs extra help leaving a building safely.
How we use your data and why we are allowed to
Data protection law says we need a lawful reason (a "lawful basis") for each way we use personal data. Here is what we do and why:

Where we rely on legitimate interests, we have weighed them against your rights and kept the data we use to a minimum.
Marketing. We do not send marketing emails or newsletters unless you ask us to. If you ever receive one and do not want more, reply and we will stop.
Automated decisions. We do not make decisions about you using automated processing or profiling.
Data stored outside the UK
Some of the services we use, such as email or analytics tools, may store data outside the UK. When that happens, we make sure the data is protected to the standard UK law requires, for example by using countries the UK has approved or approved contract terms.
How long we keep your data
- Enquiries that do not lead to work are deleted automatically after 2 years.
- Spam and junk messages are deleted automatically after 30 days.
- Records of work, reports and invoices are kept for as long as needed to support the work and any warranty, and for at least six years for tax and accounting.
- Emails and photos you send us are kept with the job they relate to, or deleted when they are no longer needed.
When data is no longer needed, we delete it or make it anonymous.
How we keep your data safe
Our website uses a secure (HTTPS) connection, so information you send is encrypted on its way to us. Access to enquiries is limited to people who need it and protected by passwords. Stored passwords and keys are encrypted. No system is perfectly secure, but we take sensible steps to protect your data and will act quickly if anything goes wrong.
Your rights
You have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct data that is wrong or incomplete
- ask us to delete your data
- ask us to limit how we use your data
- object to us using your data based on our legitimate interests
- ask us to transfer data you gave us to another organisation
- withdraw your consent at any time, where we rely on it
Some rights depend on the reason we hold the data. For example, we cannot delete invoices we must keep by law. To use any right, email us at contact@londonfiredoorspecialist.co.uk. It is free, and we will reply within one month.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Other websites and children
Our website links to other websites, such as government guidance. We are not responsible for how they handle your data, so please read their privacy policies.
Our services are for adults responsible for buildings. We do not knowingly collect data from children.
Changes to this policy
We may update this policy when the law or our services change. The date at the top shows when it last changed. If we make a big change that affects you, we will let you know.
